01 · Dashboard

Open the app and know where you stand

One screen answers the three questions every owner asks: what did we sell, who owes us money, and what is about to go wrong.

  • Net position. Stock value plus receivables minus supplier dues, in one number, with the week's trend beside it.
  • Needs attention. Expiring batches, stock below reorder level and supplier bills falling due — surfaced, not buried in a menu.
  • Dates your way. Everything shown in Bikram Sambat or AD, whichever the device is set to.
02 · Billing & POS

A bill in about ten seconds

Search or scan, tap the quantity, take the money. The parts that usually slow a counter down — a customer who wants credit, a discount, a second customer arriving mid-bill — are all one tap.

  • Scan or search. The phone camera works as the barcode scanner — no extra hardware to buy.
  • Hold a bill. Park the current sale, serve the person in a hurry, come back to it.
  • Cash, credit or part-paid. Attach a customer to any sale and the balance goes straight to their udhar ledger.
  • Stock moves instantly. The batch is deducted as the bill is saved — no end-of-day data entry.
03 · Stock & expiry

Every strip knows its batch and its expiry

Stock is not one number per medicine — it is a set of batches, each with its own expiry, cost price and MRP. That is the only way expiry losses can be seen before they happen.

  • Colour-coded expiry. Expired, expiring soon and healthy batches are obvious at a glance.
  • Reorder levels. Set a threshold per medicine and the dashboard tells you what to buy.
  • Editable batches. Fix an expiry, a cost price, an MRP or a selling price without rebuilding the record.
  • Bulk import. Bring your existing medicine list in from a CSV instead of typing it twice.
04 · Udhar & customers

Credit you can actually collect

Every customer carries a running balance built from real bills and real payments — not a diary entry someone has to remember. When it is time to ask, the reminder is already written.

  • A full ledger per customer. Every bill and every payment, oldest to newest, with the balance after each.
  • Part payments. Take Rs 500 against a Rs 1,800 balance and the ledger keeps up.
  • One-tap reminders. A polite WhatsApp or SMS message with the amount and your shop name already filled in.
05 · Purchases & suppliers

Know what you owe, to whom, and when

Enter a supplier bill once and three things happen at the same time: stock goes up batch by batch, the supplier's payable goes up, and the purchase is on record for the books.

  • Scan the carton. A GS1 2D code fills in the product, batch number and expiry date for you.
  • Pay now or pay later. Record a full payment, a part payment, or leave it on the payable ledger.
  • Mistakes are reversed, not erased. A wrong purchase or payment is undone with a compensating entry the audit trail can show.
06 · Reports & day close

The numbers, without the spreadsheet evening

Pick a date range in BS or AD and read the answer. And at closing time, count the drawer against what the system expected — with the difference recorded rather than argued about.

  • Sales & profit. By day, week or month, with cost price carried from the batch that was actually sold.
  • Top movers and dead stock. What to reorder, and what is quietly tying up your cash.
  • Cash day-close. Expected cash versus counted cash, reconciled on Nepal time, one record per day.

Choose BS or AD once, and dashboards, sales history, receipts and date pickers all follow. Expiry dates stay in AD, the way the carton prints them.

नेपाली and English

Switch the language from Settings at any time. Staff who prefer Nepali get Nepali; nothing else about the workflow changes.

Reminders on WhatsApp

Send a polite payment reminder with the customer's balance already filled in — over WhatsApp or plain SMS, whichever they actually read.

Your PAN on every receipt

Set the shop name, PAN and a footer line once in Settings — every printed and shared receipt carries them from then on.

Offline first

The internet drops. The shop doesn't.

Load-shedding, a dead router, a village with one bar of signal — none of it stops a sale. PharmaOS keeps working on the device and settles up the moment you're back online.

  • Sell offline. Bills and customer payments are saved on the device with a clear "waiting to sync" banner.
  • Sync without duplicates. When the connection returns, everything uploads once — never twice, even if the app restarts mid-sync.

Nothing is quietly edited

A pharmacy's records are only worth something if they can't be rewritten after the fact. PharmaOS corrects mistakes the accountant's way.

  • Void, don't delete. Voiding a sale returns the stock and reverses the ledger, leaving both the original and the correction on record.
  • Owner-only reversals. Payment and purchase reversals need owner rights, so a busy counter can't undo yesterday's cash.
  • Locked to your shop. Each pharmacy's data is isolated on the server, and the app can be locked behind Face ID or a fingerprint.

Questions

Before you start

Do I need to install anything?

No. PharmaOS runs in your browser — create an account for your pharmacy and you can be billing the same day. Mobile apps for Android and iOS use the same account and the same data.

What happens when the internet goes down?

You keep selling. Bills and customer payments are stored on the device and a banner shows how many are waiting. As soon as you're back online they upload automatically, and the design guarantees each one is recorded exactly once.

Can I move my existing medicine and customer list in?

Yes. Both medicines and customers can be imported from a CSV file, so you don't retype years of records. Export the list from your current system (or a spreadsheet), upload it, and review the preview before it's applied.

Can my staff use it without seeing everything?

Yes. Invite staff with a link or QR code and give each person a role. Sensitive actions — voiding a sale, reversing a payment — stay with the owner.

Does it handle expiry and batch numbers?

That's the core of it. Stock is tracked per batch with its own expiry, cost price and MRP, and the dashboard warns you about near-expiry batches while they can still be returned or moved.

Is my data safe?

Your pharmacy's data is isolated from every other pharmacy on the server, traffic is encrypted, and the app can be locked with Face ID or a fingerprint. You can request a full deletion of your account and data at any time.

Does it work on a computer as well as a phone?

Yes — the same account opens in any modern browser on a laptop or desktop, which is how most owners prefer to read reports and do the month's numbers.
